Running the Mailbox Statistics action is good preparation before running the Expire/Reduce Messages action, because it can reveal what items would be affected. If you are using too much disk space, you can delete unneeded items yourself and archive items you want to keep, before you perform an Expire/Reduce Messages action on your mailboxes.
To gather mailbox box statistics on a user workstation:
In the Database Type box, select Remote/Caching or Archive.
Browse to and select the directory where the database is located.
From the Action menu, select Mailbox Statistics.
To see if the local workstation mailbox has more items in it than the number you specify, select Mailbox Statistics, specify a maximum acceptable number of items, then skip to Step 7.

To obtain a report with more detailed statistics, select Expire Statistics, then continue with Step 5 below.
Select one or more of the following Expire Statistics options to gather statistics about what items would be affected if you performed the corresponding Expire/Reduce Messages action for the user or resource:
In the Include box, select the types of items to gather statistics on: Received Items, Sent Items, or Calendar Items.
Use the following tab options as needed:
Click Run to perform the selected Mailbox Statistics action for the local workstation database.
If you perform this action frequently, you can save your selected options and retrieve them the next time you perform this action. You can also create a batch file to run this action for you. For more information, see About GroupWise Check.
