Adding Users User Management Overview

Manage Users

Editing users

As the WebBoard administrator or board manager, you can edit your own or any other user’s profile. One important task only you can perform is to change a user’s email address if the board requires email address verification. Or a user may forget his password and need a temporary one created (the passwords are masked on the user profile, so you would delete the old one and enter a new one for the user). In editing a user profile, you can update any information you supplied when adding the user.

You will see several settings you didn’t see when you added a user with the Wizard or Add User form. These settings allow the user to set up WebBoard to their personal preferences. For example, a user may not want to accept pages or may want to view topics in reverse chronological order. There may also be custom fields if any of the optional memo fields were enabled.

To edit another user’s profile, follow these steps:

  1. From the Management menu, click Manage Users. The Search Users form opens, which you use to locate the appropriate user.
  2. Once you’ve found the user whose profile you want to edit, click Edit to the left of the name.
  3. Make the necessary edits to the user’s profile. When you’re finished, click Save. The user profile indicates that your edits have been saved for that user.

Tip
User profile summaries include links to edit a user’s profile. User profile summaries appear when you click a user’s name in a message or in a list of users.

Deleting users

Occasionally you will need to delete a user. If you’re running WebBoard on an intranet, you may need to delete users who leave the company. You may also need to delete disruptive users. Inactivity is another reason to delete users. Posts from deleted users remain on the board; the author appears as “deleted user.” To delete these posts, you can search for messages by “deleted user” and delete them manually.
Warning!
A deleted user can’t be recovered. To reinstate a deleted user, you must add the user again as a new user.

The WebBoard administrator and the board manager can delete users. To do so, follow these steps:
  1. From the Management menu, click Manage Users. The Search Users form opens.
  2. Search for and find the user by whatever means you prefer.
  3. Click Delete from the Action column to the left of the user’s name. WebBoard asks you to confirm the deletion.
  4. Click Yes if you want to delete that user. Click No if you don’t want to delete that user. If you click Yes, a message indicates that user has been deleted. If you click No, you return to the Search window.

Tip
User profile summaries now include links to delete a user. User profile summaries appear when you click a user’s name in a message or in a list of users.

Add Users to Mailing Lists

WebBoard administrators and board managers can view the status of a user’s mailing list subscriptions and then subscribe the user to additional mailing lists or unsubscribe the user from those currently subscribed to.

To edit a user’s mailing list subscriptions, follow these steps:

  1. Log in as the WebBoard administrator or board manager to any board the user has an account on.
  2. Click Search and then click the Search Users link at the top of the Search Messages page. The Search Users form opens.
  3. Search for and find the user by whatever means you prefer.
  4. Once you’ve found the user whose mailing list subscriptions you want to edit, click the user’s name. A brief summary of stats on the user appears.
  5. Click Mailing Lists at the bottom of the summary. The Mailing Lists page for that user opens.
  6. To subscribe the user to a mailing list, check the box to the left of the mailing list name. The list contains all the mailing lists on the Webboard site; not just the mailing lists for the current board.
  7. To unsubscribe a user from a mailing list, click to remove the check.
  8. When the user is subscribed to the correct mailing lists, click Save to save changes.
