Mailing List Settings

If any conferences are using mailing lists, users may be posting messages via email to that conference. These messages are handled by WebBoard’s internal SMTP mail server-wbsmtp.exe. You need to tell WebBoard how to handle bounced incoming messages. Bounced messages are ones that get as far as WebBoard’s SMTP server, but can’t be posted to a conference for some reason.

For more information on bounced email messages, go to Bounced message causes, responses, and solutions.

Note Note
Delete messages and delete or rename conferences with discretion. Any of these actions could cause numerous bounced messages, especially in very active conferences with high participation by email.

Bounced message destination

WebBoard lets you decide to whom (if anyone) bounced incoming messages are returned. Messages may be returned to the message sender and the WebBoard administrator for troubleshooting. Returning bounced messages to the sender notifies them that the message they posted didn’t get to the board, so no one will see it.
WebBoard Administrator

This is the WebBoard administrator. Enabling this option delivers a copy of the bounced message to the address specified in the WebBoard Administrator Email Address field in this section. Receiving bounced mail can help you diagnose email problems.

Message sender

This is the person who originated the message. Returning the message to its originator lets him know that his message didn’t get through so he can check the address and try again. Enabling this option delivers a copy of the bounced message back to the message originator as specified in the From: line of the message.

Keeping and renaming bounced messages

In the Keep Bounced Messages area, check “Keep and rename bounced messages” to add a .bad extension to the message and keep it in WebBoard’s in folder. If unchecked, WebBoard deletes bounced messages.

Note Note
Outbound messages that bounce are handled by the external mail server designated in the SMTP Server field of the Email Settings section. That server, how it handles bounced messages, and the error messages it returns (or doesn’t return) to senders, may or may not be under your control. Contact the administrator of your external SMTP server if you have questions.

WebBoard administrator email address

You specified the System (WebBoard) administrator’s email address when you installed WebBoard. This setting is global, applying to all WebBoard’s boards. WebBoard displays this email address on various HTML pages. Note that this email address also appears in all HTTP error messages.

In the System Administrator Email Address field, enter the email address. Be sure to use the standard email format, which is addressee@host.domain.

WebBoard server name

The server name for this field is your WebBoard server’s FQDN. It is used in the URL link back to your board, in email notification messages, and in the Reply to: information at the bottom of mailing list messages. You supplied this name during installation. If you need to change it for some reason, enter the new name.

In the Server Name field, enter the server name. Be sure to use the proper format, [computername.]host.domain.
