Kate,

No, it won't be enough. You could add fake student because that was an account that existed in Moodle. If students aren't actually registered for a class, they won't exist in Moodle: not only will their accounts not show up, they won't be able to log in at all. We no longer allow email authentication, and so there is no way to create users (with the exception of fake accounts that we sometimes set up for testing purposes) outside of getting data for registered students from ExpressLane. The reason that you were able to add students to your class before they were enrolled in your class is that they were already enrolled in some other course.

So, in short, what you had in mind may work fine for even the vast majority of students, because they may already be registered for a course, but there's no way to guarantee that it will work for everyone.

The most foolproof solution would be to have students go ahead and register for the CRN that you set up in ExpressLane. Enrollments continue to be updated through the end of the term, so students who register even the day before the exam would still be added in time. (Enrollments are updated at regular intervals, but it's not instantaneous, so somebody couldn't register in ExpressLane at 1:015 and then go take the Waiver exam five minutes later.)

David,
I was planning on adding the students to the page I created, the same way that I've added students to my other courses before they are officially added via Banner & Moodle (eg, I've added students to my WR 121 before they were actually enrolled). Meredith & I practicedadding "fakestudent" using this process. Won't this work? (hmm--you're suggesting that an email address alone isn't enough--they have to be in a class, too?).

I have a note on the waiver exam explanation web page that indicates students must have an email address active through Expresslane and give the system enough time for Banner to process them into Moodle (10 days is what I listed). Staff in Testing will indicate the same thing to students who inquire about the waiver exam.

I'll communicate with Criss, Lora and Sandra that they need to log in to moodle. Thanks for this clarification.

Best,
kate

Kate,

As LCC staff (or managers), Chriss, Lora and Sandra are all given Moodle privileges, which means they can log in to Moodle, but their Moodle accounts are not necessarily automatically created. In order for that to happen, they must log in to Moodle: that will set up the accounts parameters. Then, they'll be registered Moodle users; you'll be able to see their names if you do a user search, and you will therefore be able to add them as instructors to the Waiver course.

On your strategy for adding students to the course: I need to be clear that there's no way to gaurantee that the students will be in Moodle at all unless you know that all of them are already registered for an LCC course that exists in Moodle. If you know for a fact that this will be the case, then there should be nothing to worry about--the students' names will all be there But if that's not the case, then we may need to talk about how this is going to work.

David,
We didn't get the CRN built until recently, so I created a separate Moodle page over break (I needed to get some of the work done before the term started). I've been working with Meredith to get the bugs out, but I think it's ready to go.

Depending on how this term goes with a non-CRN-linked exam, we may decide to get a CRN built and into the system and use this option instead.

The 3 individuals below are classified & mangerial staff; do they have moodle accounts? Do they have to be added into the Moodle system? My recollection is that last term Criss had to be added into the system. When I search for him to try to add him as an instructor, he doesn't show up at all.

What we are planning for this term is to simply add the student to the course on the day they show up to take the exam. Then they can log-in and take the quiz in one go. I'm going to meet with the folks in testing services and walk them through the process.

I appreciate your assistance.

Kate,

For the three instructors who don't yet show up in Moodle (Chriss, Lora and Sandra), they will need to log in once to Moodle so that their accounts get created before they can be added as instructors. Once they've done that, you yourself can add them as instructors--they will show up as valid Moodle users.

Also, a point to keep in mind: students will not show up as Moodle users unless they are already registered for a course. If they are enrolled, then their accounts arecreated automatically at the beginning of the term. But if they're not registered students, then a) the account isn't automatically created; and b) they may not actually have Moodle privileges (meaning they wouldn't be able to log in at all).

I was under the impression that you were going to set up a CRN for this term and actually have students register for the Waiver exam in ExpressLane--did that not work out? If you did, then students should be automatically registered, provided the course is set up correctly (I can verify it if need be).

Criss,
I've added Christina; she shows up in moodle. As soon as David adds you, Lora & Sandra, I'll come over and show them how to administer the exam. It's not so hard:) On the first Weds we offer the exam, I'll free up my schedule and hang out in Testing, so I can troubleshoot. It would be great if your staff could steer people to the Weds slots.

Criss,
just names & L #s. Once they get added, they should roll over each term, just as you have.

I'm still working a few formatting issues with the article itself, but the overview and directions look good.

let's hope all this work pays off.

hope you had a restful break.

Kate;

What does David need to add my staff as instructors so they can sign people up for the exam?
I can provide names and L numbers if that's all that is needed.
Let me know what we need to do at this point.

Thanks,

Criss,
I had a really, really productive meeting with Meredith in the ITC. I think I have the quirks worked out of the online waiver exam, and here's what we would need to do:

Whoever works the desk will need to add students to the exam. It's pretty easy. we will, though, need to have the 2-3 people who might be working the desk added to the list of available instructors. David Walton will have to do this for us.

Once we have them in the system, I'll add them as instructors for the class and come over and show them how to add students/get the exam going. I'll make sure I'm available, too, to be there on 2/7 to troubleshoot any problems that arise as students come to take the exam. I have a conference on Friday, so I can't do the 9th, but I am available between 10:15-12:45 and after 3 on Thursday, though, so if we can shift any students who want to take the exam into a Weds or Thurs time, this would be best.

I am very optimistic that this will work well now that I have a bit of a handle on Moodle.
